Documents you share with us

To do our work well, we often receive documents: briefings, research, strategies, data, brand materials. We receive, store, analyse and use them to carry out the assignment, and for nothing else.

Not every document automatically goes into an external AI tool. Within the assignment we only use tools that have been approved for it, and we take into account personal data, copyright, trade secrets and contractual restrictions.

We do this preventively: also when a document is not explicitly marked as confidential.

Confidentiality & NDA

Where needed, project-specific confidentiality agreements can be laid down beforehand in a Non-Disclosure Agreement (NDA). In it we agree:

• which information is confidential,
• who gets access to it,
• whether external suppliers or partners are involved,
• what happens to the information when the project ends.

No separate NDA? We still respect statutory confidentiality and existing contractual confidentiality, including the confidentiality clause in our Terms & Conditions.

Restrictions on storage, sharing & AI

You can tell us that certain documents may not be:

• stored in specific systems,
• shared with partners,
• processed by AI.

Let your contact person know, or email info@reinspire.nl. We confirm the instruction in writing, record it in the project file and pass it on to everyone who works on the project, including partners.

Revoking access, deleting & returning documents

Want us to revoke access, or to delete or return documents? Email info@reinspire.nl with what it concerns. We confirm when it’s done and tell you if anything has to be kept, for example because of a statutory retention obligation, and for how long.

Research data

In education and research projects, a research environment approved by the client can be used, for example a Research Drive made available by the partner institution.

Reinspire only gets access when that is necessary and permitted. Research data is not automatically placed in our own cloud storage or AI tools.

Portfolio & cases

We love showing our projects, results and creative processes in our portfolio, presentations and marketing. But we don’t claim automatic publication rights.

• Per project we agree what may be made public, and under which conditions.
• For non-public client information, identifiable people and confidential results, we need appropriate consent or another valid legal basis beforehand.
• You can give permission later, and you can withdraw it. We then remove the work from our own channels going forward; material that was already printed or shared by others can’t always be recalled.
